Vehicle register

One of a company’s most important fixed-asset units is vehicles. A vehicle catalogue has been built specifically for transport accounting.

The catalogue is a list of vehicles that can be filtered by several parameters, for example manufacturer, type/body, model, engine, and so on.

Each vehicle can be attached to a company employee. That lets you record the kilometres the employee uses, from odometer readings, from the route and similar parameters, which can later be used in cost calculations. For example, connecting Google Maps can produce automatic waybills, and you can also see driving efficiency by calculating fuel consumption per kilometre driven. These elements are implemented in the employee-accounting module.

The editor module consists of:

1. activity flag — if the vehicle has been written off or sold, it can be taken out of the active list and moved to the archive,
2. category — similar to the product catalogue: vehicles can be grouped by category, and you can also use the product structure (skeleton) attached to product categories,
3. link to an employee (the employee list comes from the employee database), so that all related procedures can be built automatically — waybills, fuel-consumption analysis, cost calculation, etc.,
4. year and month of first registration,
5. brand classifier,
6. body classifier,
7. model classifier,
8. fuel classifier,
9. mileage (odometer),
10. engine capacity in cm³,
11. colour classifier,
12. state registration number (number plate),
13. chassis number,
14. registration-certificate number,
15. number of key sets,
16. year imported into Latvia,
17. automatic gearbox or not,
18. photo of the front of the registration certificate,
19. photo of the back of the registration certificate,
20. sale price, if this is a car dealer’s catalogue; otherwise it can be the purchase price or the current post-depreciation price,
21. export price — if this is a car dealer’s catalogue,
22. price currency,
23. comment for internal use,
24. attached photo gallery.

As this data list shows, the vehicle register can be used both for a company’s own fleet and by car dealers for the vehicles they sell.
